Housekeeping view

The Housekeeping View provides a real-time overview of all units in your facility, organized into groups based on floor, wing, or other categories. This is the go-to view to manage your room cleaning.

Key Features:

  • Live Cleaning Status – Instantly see which rooms need cleaning, are in progress, or are ready for check-in. Cleaning status is automatically updated based on Sweeply's rules and occupancy data from your PMS.

  • Assign tasks - From this overview, you can assign tasks to your team ensuring everyone knows what to do.

  • Organized by Unit Groups – Easily navigate units by floor, wing, or other custom categories.

  • Better Team Coordination – Ensure clear communication between housekeeping and front desk teams to minimize delays and maximize guest satisfaction.

Assigning tasks

Sweeply enables you to assign Housekeeping tasks to specific employees, ensuring everyone knows what tasks they must complete daily. It also allows you to add Daily comments and Unit notes to units.

Assigning

  • Individual Unit Assignment – Select units one by one and assign it to one or multiple users.

  • Group Assignment – Assign an entire unit group (e.g., by floor or wing) to specific users for efficient task management.

Once a user is assigned a housekeeping task, it will automatically appear under "My Tasks" in the Sweeply mobile app, providing a clear, real-time overview of all assigned tasks for the day.

When a room is marked as cleaned in Sweeply, its cleaning status is automatically updated in your PMS. This ensures that front desk staff instantly know when a room is clean and ready for check-in

Team Workload Overview

The Team Workload Overview provides a detailed breakdown of each team member's assignments, including the number of checkouts, stayovers, and the distribution of tasks across different unit groups. This comprehensive view helps you effectively manage your team, ensuring that workloads are balanced and all tasks are completed on schedule.

Start and Stop cleaning in the Sweeply app

The Sweeply mobile app helps housekeeping staff efficiently manage their cleaning tasks while keeping the front desk and supervisors updated in real time.

How It Works:

  1. View Assigned Tasks – Housekeeping staff can see their cleaning assignments under the "My Tasks" section in the mobile app.

  2. Start Cleaning – Select a room and begin cleaning by pressing play. The color changes to yellow so the front desk staff will immediately see in Sweeply web app that the room is being cleaned.

  3. Complete Cleaning—Once the task is finished, press stop. The task is marked as complete in the app, and its color changes to green. The front desk will see that the room is clean and ready for check-in. At the same time Sweeply sends information to the connected PMS that the room is ready for checkin.

Example: Cleaning Room 605

  1. Open the Sweeply mobile app and go to "My Tasks."

  2. Select Room 605. The room will appear red, indicating that it needs cleaning.

  3. Tap the play button to start the cleaning process.

  4. Once cleaning is complete, tap the stop button to finish.

  5. This task is no longer visible under My Tasks since it has been completed.

You can also check the Housekeeping Overview – Room 605 will now appear green, confirming it is clean and ready for the next guest.
