Four steps to get started with Sweeply

Follow these four steps to prepare and start using Sweeply

Welcome to Sweeply! We look forward to helping you transform your operation procedures around housekeeping and maintenance.

To get started with Sweeply, there are four steps to complete:

1. Configure Sweeply

In Sweeply, a room is called 'Units' because Sweeply supports units that are not rooms, like stairways, elevators etc.

a. Add rooms

Go to the Housekeeping view and ensure all your rooms are visible. If you don't see a room, refer to our help centre for an article on enabling syncing rooms with your PMS.

b. Remove unwanted rooms

On the other hand, if you see rooms in your Housekeeping view that you don't want to be used in Sweeply, please go to Setting -> Units and select the Trash icon next to the unit.

c. Manage unit groups

You might want to organise your rooms into different segments using unit groups. The unit group might be a floor, a location or anything else that makes sense to manage your rooms. To create and organise your rooms into unit groups, in the Settings -> Units view, open an unit and create or change a unit group on that unit.

d. Create other units

The Pro version supports creating units other than rooms that you want to clean or maintain. Create other units you want to clean regularly, like the hallway, elevator, staff room etc. You might want to add these units to a separate unit group like "General cleaning" or some of the other unit groups you've created based on how your accommodation is organised.

e. Setup rules

To ensure the cleaning status is automatically set according to your operation procedures, you can create and edit rules under Settings -> Rules. The default rules are to clean on checkout and every day. Add or delete rules as necessary. For units not linked to bookings, you can create separate rules that make them unclean f.ex. every day. If you have a Basic subscription with Sweeply, you can create up to two rules for specific units. With the Pro subscription, you can create an unlimited number of rules.

2. Install Sweeply

Create all users contributing to the daily operations like housekeeping, maintenance etc. Users will get an SMS where they can download the Sweeply mobile app and log in using their phone numbers. Sweeply is accessible through a web app for team members working on their computers.

3. Train employees

Before going live with Sweeply, you should show all your employees how to open the Housekeeping view on the mobile app and find information about the different cleaning status colours and occupancy icons.

Please ask all employees to go into a unit and press the start button to start cleaning and the stop button to finish cleaning.

Lastly, please ask all employees to select the camera icon, take a photo of something around them, select a hashtag to categorise with, and then select a unit to save it into.

4. Start using Sweeply!

Once you've done everything above, you should be ready to start using Sweeply. Follow these steps on the day before or on the morning of starting Sweeply.

a. Reset the cleaning status

Sweeply doesn't know the cleaning status of each room before starting to use Sweeply. So, you need to reset the cleaning status of all units. You can go into each unit and select the housekeeping status as it should be. Sweeply offers a mass set of cleaning statuses to make this process faster. Go to Settings -> Units. There you can select the units you want to reset the cleaning status. Select the cleaning status and press Save.

b. Assign housekeeping tasks

Our Pro subscription enables you to assign Housekeeping tasks to specific employees, ensuring everyone knows what tasks they must complete daily. It also allows you to add Daily comments to bookings and Unit notes and to create multiple rules for your housekeeping tasks.

There are two ways to manage housekeeping in Sweeply, either the housekeeping team picks out housekeeping tasks from the Housekeeping view, or a manager manages the workload and assigns housekeeping tasks to each team member.

If your accommodation is assigning housekeeping tasks, you can use the Housekeeping view to assign housekeeping tasks today, tomorrow, and into the future as needed.
