Sweeply makes it easy to create and edit rules, so a room's housekeeping status is set automatically according to your operating procedures. You manage them on the web app under Settings → Rules.
You can add, edit, or delete rules as needed. The default rules are to clean on checkout and to do stayover cleaning daily — but your rules may differ. For example, you might change the sheets every 4th day and want a rule for that, or you might want all rooms inspected after cleaning.
Rules based on bookings — examples
You can also create rules for units that aren't linked to bookings — for example the lobby, hallways, garden, or parking lot. So you could clean the lobby every day or water the flowers every 7 days, and make sure every unit is remembered.
Rules based on dates — examples
Note: Date-based rules cannot be applied to synced units, as they would override the existing booking-based rules.
Follow this step-by-step guide to create different rules:
Rules — based on bookings
Checkout cleaning
1. Go to Settings → Rules.
2. Click New rule in the upper-right corner.
3. Define and describe the rule, for example:
Rule name: Checkout cleaning
Description: Cleaning after checkout
Choose trigger: Booking
Repeat on: Checkout
Inspection: Leave blank
Default rule: Selecting this automatically adds the rule to all new units.
4. Click Next to go to Assign to units, where you choose which units the rule applies to.
5. Click Save. You've now created a Checkout cleaning rule.
Inspection after cleaning
Set up this rule if you want a room inspected after it's cleaned.
1. Go to Settings → Rules.
2. Click New rule in the upper-right corner.
3. Define and describe the rule, for example:
Rule name: Inspection
Description: Inspection after cleaning
Choose trigger: Booking
Repeat on: Checkout
Inspection: Select this box.
Default rule: Selecting this automatically applies the rule to all new units.
4. Click Next to go to Assign to units and choose the units for this rule.
5. Click Save. You've now created an Inspection rule.
Daily housekeeping
1. Go to Settings → Rules.
2. Click New rule in the upper-right corner.
3. Define and describe the rule, for example:
Rule name: Housekeeping
Description: General housekeeping every day
Choose trigger: Booking
Repeat on: Custom
Default rule: Selecting this automatically adds the rule to all new units.
Start: 1 day from check-in
End: 1 day from checkout
Repeat every: 1 day
4. Click Next to go to Assign to units and choose the units for this rule.
5. Click Save. You've now created a Daily housekeeping rule.
Change linen every three days
1. Go to Settings → Rules.
2. Click New rule in the upper-right corner.
3. Define and describe the rule, for example:
Rule name: Change linen
Description: 80% cleaning
Choose trigger: Booking
Repeat on: Custom
Default rule: Selecting this automatically adds the rule to all new units.
Start: 3 days from check-in
End: 1 day from checkout
Repeat every: 3 days
The pink color and bed icon indicate that a linen change happens every 3 days. You can customize the linen-change schedule to suit your needs.
4. Click Next to go to Assign to units and choose the units for this rule.
5. Click Save. You've now created a Change linen rule.
Rules — based on dates
Clean the Lobby every day
1. Go to Settings → Rules.
2. Click New rule in the upper-right corner.
3. Define and describe the rule, for example:
Rule name: Clean the Lobby
Description: Clean the Lobby every day
Choose trigger: Date
Default rule: Selecting this automatically adds the rule to all new units.
Repeat every: 1 day
Start date: Select the date you want to start.
4. Click Next to go to Assign to units and choose the units for this rule.
5. Click Save. You've now created a rule for cleaning the lobby.
Water the flowers every seven days
1. Go to Settings → Rules.
2. Click New rule in the upper-right corner.
3. Define and describe the rule, for example:
Rule name: Water the flowers
Description: Water the flowers every 7 days
Choose trigger: Date
Default rule: Selecting this automatically adds the rule to all new units.
Repeat every: 7 days
Start date: Select the date you want to start.
4. Click Next to go to Assign to units and choose the units for this rule.
5. Click Save. You've now created a rule for watering the flowers.
