Setup different Rules

We make it easy for you to create and edit rules in Sweeply. This ensures the housekeeping status is automatically set according to your operating procedures. You can do this under Settings -> Rules.

You can add, edit, or delete Rules as necessary. If you have a Basic subscription with Sweeply, you can create up to two rules for specific units. The default rules are to clean on checkout, and stayover cleaning will be done daily. However, your rules may differ. For example, you might always change the sheets on the 4th day and would like to create a rule for that. Additionally, some hoteliers would enjoy all rooms inspected after cleaning and add it as a rule.

Rules based on bookings - examples

You can also create rules for units that are not linked to bookings. These could, for example, be the lobby, hallways, garden, or parking lot. You can then create rules for vacuuming the hallways or watering the flowers every 7 days and ensure every unit is remembered.

Rules - based on bookings

Checkout cleaning

2. Click "New rule" in the upper right corner of the screen.

3. Define and describe the rule, for example:

  • Rule name: Checkout cleaning

  • Description: Cleaning after checkout

  • Choose trigger: Booking

  • Repeat on: Checkout

  • Inspection: Leave blank

  • Default rule: Selecting this will automatically add this rule to all new units.

4. Once you have selected the rules you wish to apply, click" Next " to bring you to the "Assign to units" section, where you can choose the units you would like associated with the rule created, as seen below.

5. Click "Save." - > You have now created a rule for Checkout cleaning.

Inspection after cleaning

Please set up this rule if you want the room or unit inspected after cleaning.

1. Go to Settings -> Rules
2. Click "New rule" in the upper right corner of the screen.

3. Define and describe the rule, for example:

  • Rule name: Inspection

  • Description: Inspection after cleaning

  • Choose trigger: Booking

  • Repeat on: Checkout

  • Inspection: Select this box.

  • Default rule: By selecting this option, the system will automatically apply this rule to all new units.

4. Once you have selected the rules you wish to apply, click " Next " to bring you to the "Assign to units" section, where you can choose the units you would like associated with the rule created, as seen below.

5. Click "Save". - > You have now created a rule for Inspection.

Daily housekeeping

2. Click "New rule" in the upper right corner of the screen.

3. Define and describe the rule, for example:

  • Rule name: Housekeeping

  • Description: General housekeeping every day

  • Choose trigger: Booking

  • Repeat on: Custom

  • Default rule: Selecting this will automatically add this rule to all new units.

  • Start: 1 day(s) from check in

  • End: 1 day(s) from checkout

  • Repeat every: 1 day(s)

4. Once you have selected the rules you wish to apply, click" Next " to bring you to the "Assign to units" section, where you can choose the units you would like associated with the rule created, as seen below.

5. Click on "Save". You have now created a rule for Daily housekeeping.

Change linen every three days

2. Click "New rule" in the upper right corner of the screen.

3. Define and describe the rule, for example:

  • Rule name: Change linen

  • Description: 80% cleaning

  • Choose trigger: Booking

  • Repeat on: Custom

  • Default rule: Selecting this will automatically add this rule to all new units.

  • Start: 3 day(s) from check in

  • End: 1 day(s) from checkout

  • Repeat every: 3 day(s)

The pink color and bed icon indicate that linen change will be done every 3 days. You can customize your linen chance schedule to suit your needs.

4. Once you have selected the rules you wish to apply, click" Next " to bring you to the "Assign to units" section, where you can choose the units you would like associated with the rule created, as seen below.

5. Click on "Save". You have now created a rule for Daily housekeeping.

Rules - based on dates

Clean the Lobby every day

1. Go to Settings -> Rules
2. Click "New rule" in the upper right corner of the screen.

3. Define and describe the rule, for example:

  • Rule name: Clean the Lobby

  • Description: Clean the Lobby every day

  • Choose trigger: Date

  • Default rule: Selecting this will automatically add this rule to all new units.

  • Repeat every: 1 day(s)

  • Start date: Select the date you would like to start.

4. Once you have selected the rules you wish to apply, click " Next " to bring you to the "Assign to units" section, where you can choose the units you would like associated with the rule created, as seen below.

5. Click on "Save". You have now created a rule for Cleaning the lobby.

Water the flowers every seven days

1. Go to Settings -> Rules
2. Click "New rule" in the upper right corner of the screen.

3. Define and describe the rule, for example:

  • Rule name: Water the flowers

  • Description: Water the flowers every day

  • Choose trigger: Date

  • Default rule: Selecting this will automatically add this rule to all new units.

  • Repeat every: 7 day(s)

  • Start date: Select the date you would like to start.

4. Once you have selected the rules you wish to apply, click " Next " to bring you to the "Assign to units" section, where you can choose the units you would like associated with the rule created, as seen below.

5. Click on "Save". You have now created a rule for Watering the flowers.
