Set how much work each person can take
Staff shift credits let you set how many credits of work a person can take on a shift, so you can plan against real capacity. This article shows how to set capacity and how to read it.
Before you start
You need the Admin role in Sweeply.
Capacity uses the same credits your tasks already carry.
Capacity is a planning limit. It is not pay or a performance target.
If you leave capacity empty, nothing changes: work is planned as before. A capacity of 0 means the person takes no cleaning work.
How capacity is chosen
Sweeply uses the most specific value it finds:
The capacity you set for one person on one day.
The default you set on that staff member.
The default you set on the shift.
Set a default on a shift
Open Settings and select Staff Scheduling.
Open the shift you want to change.
Enter the capacity in credits and save.
Set a default for a staff member
In Staff Scheduling, open the staff member.
Enter their capacity in credits and save.
Change capacity for one day
Open the schedule view and find the person and the day.
Enter the capacity for that day.
To go back to the usual value, select Revert.
Check capacity when you assign work
In the assignment view, each person shows their capacity next to their work. This is for information. You can still assign more work to a person than their capacity, and Sweeply shows the message Assigned past credit capacity with the person's name.
Check capacity in reports
The Workload report shows available credits next to the credits actually worked.
Good to know
If you change the length of a shift, Sweeply warns you that the capacity may no longer fit. It does not change the number for you.
When you publish a plan or close a day, the capacity for that day is saved. Changing defaults later does not change past days.
You cannot change shifts on past dates in the staff schedule.
Auto Assign never gives a person more work than their capacity. Work it cannot place is listed as unassigned after the run, so you can assign it yourself.
Questions
Do my staff see their capacity in the mobile app? Not for now. Capacity is set and shown to admins and supervisors.
What if I set nothing? Work is planned as it is today.
Does capacity change anyone's pay? No. It is only a planning tool.
